Appointments day sheet
The appointments day sheet is useful for managing patient appointments.
To navigate to the the day sheet:
- log in
- click on Appointments in the navigation at the top of the page
- click on Appointment Day Sheet
The day sheet will by default list the appointments for the current day, and for all locations if your practice has more than one location.
The day sheet has two main areas; the header area, and the list of appointments, found below the header area.
From the header area, the following can be done:
- use the dot menu on the right of the page’s heading to:
- enable accounts aging features in the appointments list
- export the currently visible appointments to a CSV
- use the locations dropdown to view appointments by location
- filter appointments by patient name using the text input
- set a date range to filter appointments by
- move to the previous or next day using the left and right arrows
- toggle between ordering the appointments in ascending and descending time order
In the appointments list, the following is available:
- information about the appointment, including the date, time, and type of appointment
- links to the patient’s profile and other common pages
- a link to a signed quote if one exists
- an indication that the patient confirmed their appointment
- actions for managing an appointment when a patient arrives
- actions for managing when a patient was late or missed their appointment
- view the patient’s consent forms
- view accounts aging information
- resend self-check-in otp for appointments where patients have received self-check-in OTPs
Patient arrival
When a patient arrives, the Arrived button can be clicked to update the status of the appointment.
This will do the following:
- send a doctor’s letter to the patient’s email address confirming their appointment
- add the appointment to the patient queue
- specify whether a discussion is required
- this will be shown on the appointment on the patient queue page
- add a note to the appointment
- this note will be shown on the appointment on the patient queue page
Patients late for or missing appointments
Patients may be late, or miss appointments entirely. In these situations it can be useful to know which patients these are to follow up with them, and to be able to remind them of appointments in future.
Appointments on the day sheet may be marked as late or missed. These appointments will appear as late for appointment and appointment missed in the following places:
- the patient’s appointments list in the patient portal
- the patient’s appointments list in the staff portal
Missed appointments will also be included on the missed appointments page.
Patients late for an appointment
If a patient is late for an appointment, the Late for appointment button button can be pressed. Staff may then confirm adding the status to the appointment, and optionally send a reminder email to the patient indicating that they are running late, along with the appointment details.
The button will then change to an outlined Late for appointment button, which, if pressed again, will remove the ‘late’ status from the appointment.
Patients missing appointments
If a patient misses an appointment, the No show / missed appiontment button can be pressed.
An email will automatically be sent to the patient notifying them that they missed their appointment, and that they should contact the practice to schedule a new appointment.
Consent Forms
The consent forms that have been signed for a patient will be shown for each appointment in the list.
Any mandatory consent forms that have not yet been signed will be shown as an alert.

Accounts aging
Once accounts aging has been enabled via the dot menu next to the page title, a number of actions become available for each appointment:
- an account may be marked as Overdue
- if the appointment has been marked as Arrived, a number of additional
actions become available:
- the account may be marked as Settled or Not settled. When marked as Not settled, the same will be indicated on the patient queue page
- the appointment may be marked for Deband, which will become visible on the patient queue
- if the appointment has been marked as Arrived, a number of additional
actions become available:
- accounts marked as Overdue may send an email to the patient indicating so
- an age analysis of the patient’s account will be visible
Resend self-check-in OTP
For patients that have received OTPs for self-check-in, click on the OTP to resend the OTP via WhatsApp.
