Appointments

Appointments day sheet

The day sheet provides an overview for the appointments for a given day.

In addition to general account information for a patient, this page allows you to indicate that a patient is ready to be seen, if they are late, or if they missed the appointment.

Appointment grid / calendar

The appointment calendar provides an overview of a day's appointments, organised by resources and times.

Appointments can be booked or cancelled, and time slots can be blocked from accepting bookings.

Appointment availability can be found by doing the following:

  • click Appointments in the navigation at the top of the page
  • click Appointment search
  • select a date range
  • select the type of appointment to be booked
  • optionally, select the location from the main area of the page to filter availability to that location

Once an appropriate time slot has been found, click Go to appointment grid to book the appointment for that date.

Patient queue

When a patient is marked as Ready via the daysheet or via a self-checkin they will be added to the patient queue.

This queue indicates to team members which patients are ready to be seen, and distinguishes them from those who have already been seen

The attendance status of an appointment can be updated from the patient queue to indicate that a patient is being seen. To mark an appointment as as In progress:

  • ensure the appointment has the Ready status by visiting either the daysheet or the patient's appointments page
  • visit the patient queue:
    • click Appointments in the navigation at the top of the page
    • click Patient queue
  • find the relevant appointment
  • click on the In progress button for the appointment

Missed appointments

Patients may miss appointments in one of two ways:

  • an appointment may have been booked, and they didn't attend
  • a new appointment date was suggested via a treatment post, but no appointment was booked, and the date of the suggested appointment is now in the past

The Missed Appointments page allows for a practice to evaluate which patients missed appointments, and for the practice to follow up with those patients.

This page can be found by doing the following:

  • click Appointments in the navigation at the top of the page
  • click Missed appointments

Appointment attendance

Appointments can be updated to reflect the status of the attendance. By default, appointments have no attendance information, as they are usually scheduled in the future.

When a patient is ready to be seen, appointments can be transitioned through different statuses.

These statuses are:

  • Ready
    • an appointment with this status indicates that the patient is ready to be seen
    • an appointment can be put into this status in one of two ways:
    • an appointment with this status will be shown on the patient queue, ready for a team member to see them
  • In progress
    • an appointment with this status indicates that the patient is currently being seen by a team member
    • see the patient queue page's details for how to work with patients on this page
  • Complete
    • an appointment with this status indicates that the patient has been seen by a team member, and the appointment is complete
    • follow the instructions on the treatment posts page describing how to create a treatment post from an appointment
